These Terms of Service govern your use of the SchoolFlow website at schoolflowfees.com and describe the basis on which we offer our fee recovery service. By using this website or engaging our service, you agree to these terms. Please read them carefully.
SchoolFlow is a service currently operated by Neville Richard Pollard as an independent operator based in Mueang, Surat Thani, Thailand. We are working toward formal company registration and will update these terms with our registered company details once that is complete. In these terms, "we", "us", and "our" mean SchoolFlow. "You" means the person or organization using our website or service.
1. About SchoolFlow
SchoolFlow is a managed service that helps schools in Thailand recover unpaid and late school fees. We send fee reminders to parents through LINE, include direct PromptPay payment links, provide a collection dashboard, and report on results. The service is described on this website for information. The website itself does not process payments or collect fees.
2. Using this website
You may use this website to learn about our service, contact us, and request a demo. You agree to provide accurate information and not to use the website for any unlawful purpose, to disrupt it, or to attempt to gain unauthorized access to any part of it. We may change, suspend, or withdraw any part of the website at any time without notice.
3. The service is governed by a separate agreement
This website and these terms do not by themselves create a service contract. When a school engages SchoolFlow, the service is governed by a separate written service agreement and a Data Processing Agreement signed by both parties. Those documents set out the scope, fees, responsibilities, data handling, and the specific terms of the guarantee. If anything in those signed agreements differs from this website, the signed agreements take priority for that client.
4. Our first-term performance commitment
Before launch, SchoolFlow and the school agree in writing on the overdue-fee cohort, the starting balance, the baseline comparison, the campaign period, the exclusions, the measurement method and each party's responsibilities. If the agreed recovery rate does not improve over the documented baseline during the first full school term, SchoolFlow will continue providing the core managed service for up to one additional full school term without an additional SchoolFlow service fee.
The school remains responsible for third-party LINE messaging charges, payment-provider fees, transaction costs and any newly requested custom development. The commitment applies only where the school provides accurate and complete account information, has lawful authority to provide the contact information used, provides an approved school payment account, approves message content and schedule promptly, supplies timely payment-status and balance updates, and follows the agreed reconciliation process.
Disputed balances, waived fees, hardship arrangements, withdrawn students, inaccurate or unreachable contact details, and circumstances outside SchoolFlow's reasonable control are excluded from the calculation. The full measurement terms and exclusions are set out in the signed service agreement, which takes priority over this summary.
5. Fees and payment
Pricing shown on this website is indicative and based on school size. Final pricing, billing terms, and any setup or performance-based components are confirmed in the signed service agreement. Figures and examples shown on the website, including any return-on-investment illustrations, are estimates based on industry benchmarks and conservative assumptions. They are provided to help you understand the service and are not a promise of a specific financial result for your school.
6. Intellectual property
The SchoolFlow name, the LINE-First Fee Recovery System name, our logo, the content and design of this website, and our message templates, dashboards, and reports are owned by us or used by us under licence. You may not copy, reproduce, or reuse them without our written permission. You may view and share the website for the purpose of evaluating our service.
7. Acceptable use
When using our website or service, you agree not to break any law, infringe anyone's rights, or misuse personal data. Schools that use our service are responsible for ensuring they have the right to share student and parent data with us and for obtaining any consent required under the PDPA. We handle that data as a data processor on the school's behalf, as described in our Privacy Policy and the Data Processing Agreement.
8. Third-party services
Our service relies on third-party platforms, including LINE and a payment provider for PromptPay. Your use of those platforms is also subject to their own terms. We are not responsible for the availability, performance, or policies of third-party services, although we choose our providers carefully.
9. Disclaimers
The website is provided on an "as is" basis. While we work to keep the information accurate and current, we do not warrant that it is complete, error-free, or always available. Nothing on this website is legal, financial, or tax advice. The actual results of the service depend on factors specific to each school, including its parents, fee structure, and how it works with us.
10. Limitation of liability
To the extent permitted by law, we are not liable for any indirect, incidental, or consequential loss arising from your use of this website. Our liability in connection with the paid service is governed by, and limited as set out in, the signed service agreement with each client. Nothing in these terms limits any liability that cannot be limited under Thai law.
11. Privacy
Our handling of personal data is described in our Privacy Policy, which forms part of these terms. By using our website or service, you acknowledge that you have read it.
12. Changes to these terms
We may update these terms from time to time. When we do, we will change the date at the top. Continuing to use the website after a change means you accept the updated terms.
13. Governing law
These terms are governed by the laws of the Kingdom of Thailand. Any dispute arising from them or from your use of this website is subject to the jurisdiction of the courts of Thailand.
